INVENTORY MANAGEMENT · 5 MIN READ

A practical inventory-control routine for small and growing businesses

Inventory problems often begin with small inconsistencies: an item is recorded under two names, a receipt is entered late, or a stock count is not compared with the system record. A repeatable routine helps teams spot these gaps before they affect purchasing or sales.

1. Keep item records consistent

Agree on a clear item name, unit of measure, and identifier for each product. Where barcode scanning is part of the workflow, use the same barcode consistently and test it when a new item is added. Avoid creating a second item record just because a supplier uses a different description.

2. Record stock movement promptly

Decide who records receipts, sales, transfers, returns, and adjustments, and when each should be entered. A short written procedure reduces the chance that an item moves physically while its record remains unchanged.

3. Schedule focused stock checks

Instead of waiting for one large annual count, select a manageable group of items for regular checks. Compare the physical quantity with the recorded quantity, investigate differences, and document approved corrections so the same issue is less likely to recur.

4. Review exceptions and follow through

Look for repeated adjustments, unexpected stockouts, and items that do not move as planned. Use the findings to improve ordering and staff procedures rather than treating each discrepancy as an isolated event.

A useful inventory system should make it easier to maintain item records, follow stock activity, and review exceptions. APS provides inventory and barcode capabilities; the right setup depends on the business’s edition and workflow.
